What you keep here is more sensitive than most of what people put online: limits, rules, journals, the details of how you live. The Academy was built on the assumption that all of it is private until you decide otherwise.
What we store
Your email address, a hashed password and your date of birth (checked once to confirm you are an adult, never displayed). Everything you enter during enrollment and training: your configuration, limits, rules, journal, reports, assignments, evaluations, storage profiles and covenant. A log of security-relevant actions such as sign-ins and permission changes. IP addresses are stored only as a keyed hash.
Who can see it
You can see everything. An Owner sees nothing until you invite them, and then only the specific areas you grant; journal entries are shared one at a time. The Academy's administrators can view any member's record, including private journal entries, reports, limits, rules and storage arrangements, so that they can investigate abuse, misuse of the Registry and safety concerns. They can look but cannot change your material, and every time an administrator opens part of your record it is written to a permanent audit log. Content editors, who maintain the curriculum, have no access to member records.
The public sees only what you publish on your registry profile, field by field. A new registry record is private. Your legal name, email address, location, schedules, storage arrangements, emergency procedures and private rules are never part of a public profile, whatever settings you choose.
Public registry profiles and certificate verification pages for public profiles may appear in search engines. Private and verification-only records do not.
When you delete your account
Everything private is erased: your configuration, rules, journal, reports, storage profiles, covenants and training history. Your registry number is retired and never reissued.
Whatever you had already made public on your registry profile at that moment, and the credentials shown there, remain on record under the retired number so that certificates people have seen can still be verified. Nothing that was private becomes public. If you want the public record removed as well, use the Registrar request form with your registry number and it will be erased in full.
Exports
You can download a complete copy of your data from Settings at any time.
We send email only for account security and confirmations. No newsletters, and your address is never shared.
